Vaaad AI is a voice AI calling platform operated by Autopilot Studio, a sole proprietorship based in Rajasthan, India, accessible at vaaadai.com.

This Privacy Policy explains how we collect, use, store, and protect your personal data when you use Vaaad AI. By accessing or using our platform, you consent to the practices described in this policy.

We will notify you of any material changes to this policy via email or a prominent notice on our platform. Continued use after changes constitutes acceptance.

2. Information We Collect

We collect account data including your full name, email address, phone number, billing information, and company details where applicable.

We collect usage data including your IP address, device information, browser type, access logs, feature usage patterns, and analytics data generated through your interaction with the platform.

We collect voice and call data, which is handled with extra care given its sensitive nature. This includes call audio recordings and transcripts, call metadata such as duration, phone numbers dialed, and timestamps, as well as AI interaction logs covering prompts, responses, and call outcomes.

We use session cookies and analytics cookies to maintain your logged-in state and understand how the dashboard is used. You can manage cookies through your browser settings.

3. How & Why We Use Your Data

We process your data only for the following purposes: to deliver the service by routing calls, running AI agents, and generating transcripts; to process billing and usage-based charges; to respond to customer support queries and resolve issues; to improve the reliability, performance, and features of the platform through analytics; and to meet our obligations under applicable Indian law.

We do not use your call recordings, transcripts, or end-user data to train or improve any AI models. Customer data is used strictly for service delivery only.

4. Legal Basis & Consent (DPDP Compliance)

Under India's Digital Personal Data Protection Act, 2023, we rely on free, specific, informed, and unambiguous consent as our lawful basis for processing personal data. Consent is obtained at signup via a clear agreement checkbox. You may withdraw consent at any time by contacting us at legal@vaaadai.com.

For end-users of your AI calls: customers using Vaaad AI are solely responsible for obtaining all necessary consents from individuals they contact or record via our platform, including any disclosures required under TRAI regulations and the DPDP Act. Vaaad AI processes such data only on the customer's instructions.

5. Sharing & Disclosure of Data

We do not sell your data. We share data only with third-party service providers engaged strictly for the purpose of delivering the platform. These providers are contractually required to handle data securely and only as instructed by us.

Our service providers include companies that handle authentication and database hosting (United States and European Union), real-time audio infrastructure for calls (United States), SIP telephony and phone number provisioning for both Indian and international numbers (India and United States), AI language model processing and embeddings (United States), speech-to-text transcription (United States), text-to-speech synthesis for Indian and international languages (India and United States), call recording storage (global), and payment processing (India).

We may also disclose data to law enforcement or regulatory authorities if legally required, or to successors in the event of a merger or acquisition, in which case you will be notified.

6. Data Retention & Deletion

Call recordings and transcripts are retained for 90 days from the date of the call. Account data is retained for the duration of your account plus 90 days following closure. Billing records are retained for as long as required under Indian tax and accounting laws.

To request deletion of your data, email us at legal@vaaadai.com. We will process your request within 30 days.

7. Security & Breach Notification

We implement reasonable technical and organisational safeguards including encryption in transit and at rest, access controls and role-based permissions, and regular security reviews.

In the event of a personal data breach, we will notify affected users and the Data Protection Board of India as required under the DPDP Act.

8. Your Rights (DPDP — Data Principal Rights)

As a user, you have the right to request a copy of your personal data, to request correction of inaccurate data, to request deletion of your data, to withdraw your consent at any time, and to lodge a complaint with our Grievance Officer.

9. International Data Transfers

As we use service providers located outside India, including in the United States, your data may be transferred internationally. We ensure such transfers are governed by appropriate contractual safeguards consistent with the DPDP Act.

10. Children's Privacy

Vaaad AI is not intended for use by individuals under the age of 18. We do not knowingly collect data from minors. If we become aware of such data, it will be deleted promptly.
